The Opportunity

We are looking for a detail-oriented and proactive Client Order Coordinator to manage and coordinate customer orders from order confirmation through final delivery. The role involves close coordination with clients, merchandising, production, sourcing, quality, logistics, and other internal teams to ensure orders are processed accurately and delivered on time.

The ideal candidate should have strong communication and coordination skills, excellent attention to detail, and the ability to manage multiple orders and timelines in a fast-paced apparel manufacturing environment.

Role Purpose

The Client Order Coordinator will be responsible for coordinating the complete order lifecycle, maintaining accurate order information, following up with internal teams, communicating order updates to clients, and ensuring timely execution and delivery of customer orders.

Key Responsibilities

Client & Order Coordination

• Receive and coordinate customer orders, purchase orders, and order confirmations.
• Review order details including styles, quantities, sizes, colors, delivery dates, and other specifications.
• Maintain accurate and updated order status records.
• Coordinate with clients regarding order requirements, clarifications, and changes.
• Provide regular order status updates to clients.
• Follow up with clients for pending approvals, confirmations, and required information.

Internal Coordination

• Coordinate closely with Merchandising, Production, Sourcing, Quality, and Logistics teams.
• Follow up on order execution and ensure activities are progressing as per the agreed timeline.
• Monitor production and order milestones to identify potential delays.
• Escalate order-related issues and delays to the concerned team.
• Coordinate with relevant teams to resolve order discrepancies and ensure timely closure.

Order Documentation

• Maintain purchase orders, order confirmations, specifications, approvals, and related documents.
• Prepare and update order trackers and reports.
• Ensure all order-related information is properly documented and updated.
• Maintain records of client communications, approvals, and changes.
• Coordinate documentation required for dispatch and shipment.

Shipment & Delivery Coordination

• Track order completion and coordinate with the logistics team for dispatch.
• Follow up on shipment schedules and delivery timelines.
• Ensure required shipping documents are completed and shared with the concerned teams.
• Communicate shipment and delivery updates to clients.
• Monitor pending deliveries and coordinate for timely resolution of issues.

Customer Service & Issue Resolution

• Act as a point of coordination for client order-related queries.
• Respond to customer requests professionally and within agreed timelines.
• Identify order discrepancies and coordinate with internal teams for resolution.
• Maintain strong working relationships with clients and internal stakeholders.
• Ensure a smooth customer experience throughout the order lifecycle.

Candidate Profile

• 2–5 years of experience in order coordination, customer coordination, merchandising coordination, sales support, or a similar role.
• Experience in the apparel, textile, fashion, manufacturing, or export industry will be an advantage.
• Strong communication and interpersonal skills.
• Good understanding of order processing and coordination.
• Strong follow-up and organizational skills.
• Excellent attention to detail and accuracy.
• Ability to manage multiple orders and deadlines simultaneously.
• Proficiency in MS Excel and MS Office.
• Experience with ERP systems such as SAP/Oracle will be an advantage.
• Ability to work effectively with cross-functional teams.
