Key Responsibilities

Procurement & Vendor Management

• Lead procurement planning activities to ensure timely availability of materials as per project requirements.
• Manage and maintain strong relationships with vendors, suppliers, and service providers.
• Monitor procurement schedules, vendor performance, production status, and dispatch readiness.
• Resolve supply chain challenges and ensure uninterrupted material flow for project execution.
• Drive continuous improvement in procurement processes and vendor management practices.

Dispatch & Logistics Operations

• Oversee dispatch planning and execution across multiple locations and large-scale delivery networks.
• Manage logistics operations, transportation planning, and vehicle allocation to ensure efficient product movement.
• Coordinate with transporters and logistics partners to ensure timely and cost-effective deliveries.
• Monitor shipment status, identify operational bottlenecks, and implement corrective actions.
• Ensure compliance with transportation, statutory, and company guidelines.

Project Delivery & Coordination

• Ensure delivery commitments are met as per project schedules and customer expectations.
• Collaborate with procurement, production, warehouse, logistics, finance, and project teams to ensure smooth execution.
• Track project milestones, pending deliveries, and potential risks, ensuring timely resolution.
• Coordinate with customer representatives, contractors, consultants, and government authorities where required.

Documentation, Billing & Compliance

• Oversee billing and invoicing processes in coordination with finance teams.
• Ensure accurate maintenance of invoices, e-way bills, PODs, delivery challans, transport documents, and related records.
• Monitor documentation compliance and ensure timely closure of delivery and commercial transactions.
• Support internal and external audits by maintaining complete and accurate documentation.

Reporting & Operational Excellence

• Prepare and review daily, weekly, and monthly MIS reports, project trackers, and operational dashboards.
• Analyze procurement, dispatch, logistics, and delivery performance metrics.
• Present key findings, performance updates, and improvement recommendations to senior management.
• Drive process improvement initiatives focusing on efficiency enhancement, service quality, and cost optimization.

Team & Stakeholder Management

• Lead and mentor team members responsible for procurement coordination, logistics, dispatch, and reporting activities.
• Build effective communication channels across departments and external stakeholders.
• Ensure alignment between operational teams, customers, vendors, and project management teams.
• Foster a culture of accountability, collaboration, and continuous improvement.

Desired Candidate Profile

• Bachelor's degree in Engineering, Supply Chain, Logistics, Commerce, Operations, or related field.
• MBA/PGDM in Operations, Supply Chain Management, or Logistics preferred.
• 8-12 years of relevant experience in Procurement, Supply Chain, Logistics, Dispatch, Project Coordination, or Operations Management.
• Should be comfortable travelling to South India as an when required.
• Strong leadership, negotiation, and stakeholder management skills.
• Excellent analytical and problem-solving abilities.
• Experience managing large-scale dispatches, project deliveries, and logistics operations.
• Proficiency in Microsoft Excel (Advanced Excel, Pivot Tables, XLOOKUP/VLOOKUP, Dashboards), PowerPoint, and ERP systems (SAP preferred).
• Strong communication, planning, and organizational skills.
